Teams Meeting Recording in Shared Mailbox

Hi,

I need assistance with an issue.

A customer wants to get a transcription of a shared mailbox discussion that took place during a Teams meeting.

Here’s how you can help your customer get the transcription of the Teams meeting recording from a shared mailbox:

First, let’s clarify that Microsoft Teams meeting recordings are stored in OneDrive or SharePoint, not in a shared mailbox. So, you’ll need to locate the recording first. Here’s how to do it:

  1. Find the meeting organizer: Determine who organized the meeting where the recording was made. They should have received an email with a link to the meeting recording.
  2. Get the meeting recording link: Ask the meeting organizer to share the meeting recording link with you or the customer. This link should be accessible by both internal and external users.
  3. Open the recording in OneDrive or SharePoint: Once you have the link, open it in OneDrive or SharePoint, depending on where it’s stored. You might need to log in with your Microsoft credentials.
  4. Download the recording: Download the recording as an MP4 file from OneDrive or SharePoint.
  5. Transcribe the recording: You can use Microsoft Stream, Otter.ai, or other transcription tools to generate a transcript from the downloaded MP4 file. Microsoft Stream is a built-in Microsoft tool that can automatically generate transcripts from meeting recordings.

If the meeting organizer doesn’t have the recording link, you can try the following:

  1. Check Teams meeting chat: Sometimes, the meeting recording link is shared in the Teams meeting chat. Check the chat history to see if the link is there.
  2. Contact IT support: If you’re unable to find the recording link, reach out to your organization’s IT support team to see if they can help locate the recording or provide guidance on how to access it.

Once you have the transcription, you can share it with the customer.
